7. Confidentiality

Log out of electronic systems when not in use.

Confidentiality continues even after employment or engagement with Bubbles Therapy ends.
8. Consent
Where possible, Bubbles Therapy will obtain informed consent before collecting, using or sharing personal information.

12. Record Retention
Records will be retained in accordance with legislative requirements.
Unless legislation requires longer retention:

Participant records are retained for a minimum of seven (7) years after services cease.

Records relating to children are retained in accordance with applicable legal requirements.

Records are securely destroyed or permanently de-identified once the retention period expires.
13. Access and Correction
Participants have the right to:

Request incomplete information be updated.
Requests should be made in writing to Bubbles Therapy.
Requests will be responded to within a reasonable timeframe.
14. Privacy Breaches
A privacy breach includes:

Accidental disclosure.

Cybersecurity incidents.

Sending information to the wrong person.

Stolen devices containing participant information.
Where a breach occurs, Bubbles Therapy will:

Meet obligations under the Notifiable Data Breaches Scheme where applicable.

15. Responsibilities
Management
Management is responsible for:

Workers
All workers must:

Respect participant dignity and choice.
16. Complaints
Participants may make a privacy complaint by contacting Bubbles Therapy.
Complaints will be:

Acknowledged promptly.

Investigated fairly.

Responded to in writing where appropriate.

Managed confidentially.
If a complainant is dissatisfied with the outcome, they may contact the Office of the Australian Information Commissioner (OAIC) or the NDIS Quality and Safeguards Commission.

19. Policy Review
This policy will be reviewed every two years, or sooner if there are changes to legislation, NDIS requirements, or organisational practices.

18. Short Notice Cancellation Policy
At Bubbles Therapy, we understand that plans can change. If you need to cancel or reschedule an appointment, please provide as much notice as possible.
A cancellation made less than two (2) clear business days before your scheduled appointment is considered a Short Notice Cancellation. In these circumstances, Bubbles Therapy may charge up to 100% of the agreed service fee, in line with the NDIS Pricing Arrangements and our Service Agreement.
What are "clear business days"?
The day you notify us and the day of the appointment are not counted. For example, if your appointment is scheduled for Friday, you must notify us by the end of Tuesday to avoid a short notice cancellation fee.
When a cancellation fee will not apply
We will not charge a cancellation fee if:

We are able to offer your appointment time to another client; or
-
We use the scheduled time to deliver other agreed services related to your supports, such as report writing, case notes, resource preparation, or other approved non-face-to-face activities.
We encourage you to let us know as soon as possible if you need to change your appointment so we can support you and other families effectively.
